Your information.
Handled thoughtfully.
How we handle personal information when you visit this website, contact us or work with us. Last updated: 31 October 2026.
Who is responsible?
Pineapple Bee is a business based in East Sussex, United Kingdom. We are responsible for the personal information described in this notice. For privacy questions or to exercise your rights, email privacy@pineapplebee.co.uk.
What we collect and why
We collect contact details and project information through our enquiry form, email, phone and video calls. We use these, along with correspondence, quotes and invoices, to respond to enquiries, deliver work and maintain business records. We need enough information to respond or provide the agreed service. Please do not send passwords or sensitive personal information through the form. Contacting us does not subscribe you to marketing.
- Contract: where necessary to provide a quote you request or deliver services under a contract with you as an individual, including a sole trader.
- Legitimate interests: handling general enquiries, communicating with client organisations, administering projects and keeping relevant records for support or legal claims. Our interests are running and protecting the business, balanced against your rights.
- Legal obligation: keeping accounting and tax records required by law.
Website data and cookies
Hosting logs may include IP addresses, pages requested, timestamps and browser information. The form uses an essential security session cookie and temporary hashed IP-based request records to reduce spam. Our lawful basis is legitimate interests in keeping the website secure.
We do not use advertising or analytics trackers. If you choose Light or Dark, your browser saves the theme preference locally until you select System or clear the site's browser data. It is not used for tracking.
Retention
Enquiries that do not become projects are normally kept for two years after the last substantive contact. Project files and correspondence are kept for up to six years after completion for follow-up work and contractual matters, unless an agreement or legal need requires a different period. Accounting records are kept for the legally required period, generally at least five years after the relevant 31 January tax filing deadline.
Form rate-limit records expire after one hour and are removed by later requests. Hosting logs and residual provider copies follow the provider's retention and deletion arrangements.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restricted use or a portable copy of your information, and object to processing based on legitimate interests. Some rights have legal exceptions.
Send requests to privacy@pineapplebee.co.uk. Requests are normally free and answered within one month. We may need to verify your identity; any legally permitted extension or exception will be explained.
You can also raise a concern with the Information Commissioner’s Office.
